General Description

The Sales Assistant provides administrative, operational, and customer service support to the Sales and Mortgage Origination team. This position is responsible for maintaining customer relationships, coordinating documentation, ensuring quality control and compliance standards, managing customer information in Salesforce, and supporting housing assistance programs and sales initiatives. The Sales Assistant plays a key role in delivering an exceptional customer experience while contributing to the achievement of the organization's sales and operational goals.

Essential Duties and Responsibilities

•    Support the Sales team in achieving business objectives by managing assigned customer databases, conducting customer outreach, and maintaining effective follow-up activities with prospects and clients.
•    Provide exceptional customer service throughout the sales and loan origination process by responding to inquiries, facilitating communication, supporting closing activities, and promoting customer satisfaction initiatives.
•    Process, review, and coordinate loan applications and supporting documentation to ensure accuracy, completeness, and compliance with company policies and established procedures.
•    Perform quality control reviews of loan files, including completion of required checklists, validation of critical loan data, verification of program coding, and identification of discrepancies prior to submission.
•    Communicate regularly with customers, real estate agents, and other stakeholders to obtain required information, resolve documentation issues, and facilitate timely file completion.
•    Assist with the collection of origination fees and required supporting documentation to support efficient loan processing and closing activities.
•    Support housing assistance and government-sponsored programs by educating customers on eligibility requirements, monitoring application progress, and submitting completed applications through designated platforms.
•    Maintain accurate, organized, and up-to-date customer records, reports, and program documentation in company systems, including Salesforce and other designated platforms.
•    Record, monitor, and manage customer interactions, leads, tasks, and follow-up activities in Salesforce, ensuring all records are properly documented and maintained for reporting and audit purposes.
•    Collaborate with cross-functional teams, including Reception, Closings, Operations, and Sales, to support departmental objectives and deliver a seamless customer experience.
•    Assist with internal audits by ensuring loan files, customer records, leads, and related documentation meet company standards and regulatory requirements.
•    Support the planning, coordination, and execution of sales initiatives, marketing campaigns, and business development activities designed to generate new business opportunities.
•    Perform other administrative, operational, and customer support duties as assigned to meet departmental and organizational goals.

Education

Minimum of 60 undergraduate credits required.

Experience

Minimum of 1–3 years of experience in customer service, sales support, administrative support, or a related role requiring direct interaction with customers and management of multiple priorities.

Additional Requirements

•    Bilingual in English and Spanish (verbal and written).
•    Proficiency in Microsoft Office Suite (Excel, Word, Outlook, and Teams).
•    Experience using Salesforce or similar CRM platforms.
•    Strong customer service, communication, and interpersonal skills.
•    Excellent organizational skills and attention to detail.
•    Ability to manage multiple priorities in a fast-paced environment.
•    Ability to handle confidential information with discretion and professionalism.
•    Knowledge of mortgage lending, banking, real estate, or financial services preferred.

Work Schedule

On-Site
Monday to Friday- 8:00 am to 5:00 pm 
Availability to work Saturdays from 8:00 a.m. to 12:00 p.m., based on business needs.
Availability to work extended hours, holidays and weekends.
