Vendor Management Coordinator

We are currently searching for a Vendor Management Coordinator to join our dynamic team! Responsible for vendor management activities, such as: determining procurement method, processing requisitions and invoices, and initiating contract process, and provides guidance to the business units. Oversight of Capital Project Budget spreadsheet to maintain contract and purchase order financial information and invoice payment for work completed and ensure payments align with the executed contracts.

In this position, you will:

  • Liaison between CRE units, the Procurement department, and the legal/risk teams.
  • Identify the basic requirements of contract and contract amendments  
  • Prepare contract drafts (MSA and Sub-agreement) and track the vendor management contract lifecycle
  • Process contract renewals
  • Perform purchase requisition functions for the published contracts and for goods.
  • Process invoices for services, goods, and utilities
  • Work with the contract lifecycle management process and ensures adherence to requirements
  • Review the completeness of the information received and follow-up as required
  • Review the Risk Engagement Request RER and advise units on qualification
  • Communicate any discrepancies and work with Engagement Owners to obtain required data
  • Ability to perform comfortably in a fast-paced, deadline-oriented work environment
  • Analyze significant, and/or unique contract requirements, special provisions, terms, and conditions to ensure compliance with appropriate laws, regulations, and corporate policies and business unit procedure, ultimately reducing risk to the company.
  • Create a positive working relationship with the units, understand their needs and asking the appropriate questions to provide the necessary procurement support.
  • Expediting requisitions to ensure on-time delivery in support of unit’s commitments, when needed.
  • Bi-weekly call with managers to discuss pending items and current status of contracts and purchase orders.

To be considered, you will need:

  • Bachelor's Degree in Business Administration, preferred.
  • Two (2) years of vendor, compliance, or risk management experience preferred. 
  • Excellent written and verbal communication skills in English
  • Proficient in MS Office 365 Excel, PowerPoint, Word
  • Proficient in Ariba
  • Identifies and resolves problems in a timely manner; Develops alternative solutions.


 

Base Salary & Benefits

Our base salary for this position located in New York City generally ranges between  $29.17 and $34.48 annually, depending on business need and on your qualifications and experience. Base salary does not include incentive compensation, commission, or any other type of remuneration or benefits.

In addition to salary, Popular's well-rounded benefits package for regular full-time and part-time employees includes a comprehensive health plan, flexible time off options, and savings and investment plans. Seasonal/temporary employees are not eligible for these benefits.
