Commercial Banking Portfolio Officer | Construction Division

General Description

This position supports the administration and monitoring of a commercial loan portfolio by ensuring accurate processing of transactions, compliance with internal policies, and adherence to regulatory requirements. This role is responsible for performing detailed validation and review of loan-related activities, including loan closings, disbursements, and other monetary transactions, as well as performing detailed financial analysis, reconciliations, and portfolio monitoring. The commercial banking portfolio officer works closely with Relationship Officers, Credit, and internal support units to review documentation, facilitate funding activities, and resolve discrepancies in a timely manner. Maintains portfolio integrity through reporting and projections, coordination of ABL Audits and review of ABL collateral analyses, while ensuring data accuracy across systems and databases.
Additionally, this role supports audit, risk, and control processes by performing reconciliations, variance analysis, and compliance-related reviews, including SOX, RRA, BSA/AML, and data governance requirements. Contributes to budget validation, financial reporting, and special projects to improve operational efficiency and support the Division’s overall performance.

Essential Duties and Responsibilities

Process Compliance and Reviews
o    Verify transactions including but not limited to option cancellations, inter-account transfers, Escrow Account Fee Charges, and SAP ADI Accounts Payable entries, and perform daily G/L reconciliations (cuadres G/L).
o    Support the coordination of loan closings and special accounting-related transactions.
o    Ensure closings are completed and accurately posted in the system in a timely manner (within 1–5 days after closing).
o    Support the analysis and validation of loan maintenance activities and participation transactions.

Portfolio Management
o    Review Advance Requests from Multifamily clients to validate supporting documentation and availability of funds by line item, according to requested amounts.
o    Organize and file supporting documentation for transactions.
o    Review transaction requests and supporting evidence to ensure accuracy and completeness.
o    Follow up with clients to obtain missing documentation and required corrections.
o    Coordinate and send instructions for outgoing wire transfers, including proper documentation.
o    Maintain transactions logs updated and accurate.

Other Portfolio Activities
o    Prioritize Asset Based Lending (ABL) collateral analyses based on Relationship Officers requests.
o    Review completed ABL Collateral Analyses to ensure timely availability for Relationship Officers and Financial Analysts.
o    Maintain updated status reports of ABL collateral analyses, and ensure final reports are properly archived in shared drives.

Preparation of Reports and Special Reports
o    Coordinate submission, on a timely basis, of the monthly ABL Collateral Analysis Status Report and External Audit Schedule to Credit Group.
o    Support Cognos reporting processes to ensure data accuracy and timely updates of the ABL, Collateral, and Construction reports, as well as request enhancements or new reports as needed.
o    Perform G/L reconciliations against bank statements (e.g. Sub CDE deposit accounts), investigate discrepancies and coordinate any adjustment, including Corporate Service and Management fees.
o    Perform reconciliations related to Accounts Payable transactions (e.g. PCC to BPPR).
o    Support updates to the Procedures Manual, financial projections and risk/control Assessments (RRA, BIA, BCP, SOX) from the Division.

Special Projects
o    Participate in additional assignments and special projects, contributing knowledge and expertise, as needed.

Education

Bachelor’s degree in Business Administration with a concentration in Accounting or Finance

Experience

•    Minimum of four (4) years of experience in the commercial banking industry, accounting, or related financial functions. 
•    Experience with loan portfolio administration, financial analysis, and/or reconciliations.

Hybrid work schedule
Monday to Friday- 8:30 am to 5:30 pm
