General Description

Provide support to the General Counsel. Responsible for the office management, daily matters and special projects assigned. Manage confidential matters for the Group and support General Counsel identifying, directing, and solving matters from clients/providers/employees referred to their office by performing the following duties.

Essential Duties and Responsabilities

• Manage General Counsel calendar, including making appointments and prioritizing the most sensitive matters
• Organize meetings and booking meeting rooms
• Screens incoming calls and correspondence and responds independently when possible.
• Prepares documents outlining and explaining administrative procedures and policies and monitors compliance.
• Directs preparation of records such as agenda, presentations, minutes, and resolutions to General Counsel.
• Acts as custodian of corporate documents and records, including organization of digital files and documents.
• Conduct research, compile data, and prepare papers for consideration and presentation to General Counsel.
• Composes and prepares confi dential correspondence, reports, and other complex documents.
• Creates and maintains database and spreadsheet fi les.
• Arranges meetings and events by arranging for facilities and caterer, issuing information or invitations,coordinating speakers, and controlling event budget.
• Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings.
• Supports administrative matters, including preparation of expense reports, invoicing and other duties.
 

Minimum Education

Bachelor's Degree in Business Administration

Experience

2 years of related experience

  • Problem Solving: Identifies and resolves problems in a timely manner; Develop alternative solutions
  • Communication Skills Oral Communication(Spanish and English); Speak clearly and persuasively in positive or negative situations; Demonstrate group presentation skills; Written Communication: (Spanish and English) Write clearly and informatively; Edit work for spelling and grammar
  • Present numerical data effectively
  • Computer Skills Knowledge of MS Office software including Word, PowerPoint, and Excel.
  • Office Administration Knowledge of administrative/ office procedures and systems such as word processing, file and record management, transcription, form design, and other office procedures.
  • Also have knowledge of principles and processes for providing customer and personnel services.

  1. Must have worked at least two years as a regular employee of the corporation and completed two years in current position.
  2. Must show a high or good performance level. This means that you will not qualify if you scored "Unacceptable" on any of the objectives and/or organizational competencies in your last performance assessment. "Needs improvement" will be evaluated and considered in determining eligibility.
  3. Must be free of written disciplinary actions during the last year. Disciplinary actions received during the evaluation period for the internal vacancy will be considered in determining your eligibility.
