Projects Coordinator | Talent Acquisition

General Description

We are seeking a dynamic and detail-oriented Talent Acquisition Projects Coordinator to lead and support the administration of recruitment technologies, project management, process optimization, and strategic initiatives within the Talent Acquisition (TA) function. This role will be instrumental in enhancing the candidate, hiring manager, and recruiter experience through technology, process excellence, and data-driven insights.

Essential Duties and Responsibilities

Recruitment Technology & System Administration (SuccessFactors) –

  • Administer and maintain the SuccessFactors (SSFF) recruitment module.

  • Evaluate proposed system enhancements and integrations, identifying risks and value-added opportunities.

  • Develop and execute project plans including technical requirements, budgets, and resource allocation.

  • Manage system incidents by conducting root cause analysis and escalating to IT when necessary.

  • Maintain documentation and communication for all system-related projects and updates.

Project Management & Strategic Initiatives 

  • Lead special projects to improve TA processes and user experience.

  • Oversee full project lifecycle from initiation to completion, ensuring alignment with scope, time, and budget.

  • Coordinate training and communication strategies for project rollouts.

  • Monitor project progress and provide regular updates to stakeholders.

Policy, Compliance & Process Documentation 

  • Develop and maintain TA policies, procedures, and manuals to ensure compliance with legal and regulatory standards.

  • Manage internal audits and quality monitoring programs.

  • Generate and analyze reports to identify and prevent operational errors.

  • Maintain inventory of all communications and procedural updates.

Cross-Functional Collaboration & Stakeholder Engagement 

  • Partner with HR Centers of Excellence (COEs) and other business units to identify and implement process improvements.

  • Manage and update Total Rewards documentation in collaboration with relevant stakeholders.

  • Communicate policy changes and ensure alignment across teams.

Survey & Experience Analytics 

  • Administer candidate and hiring manager experience surveys.

  • Analyze and present survey results in visual formats for leadership review.

  • Ensure survey processes are compliant and equitable.

Talent Attraction & Social Media Strategy 

  • Coordinate annual events and manage budget for talent attraction initiatives.

  • Collaborate with vendors (e.g., Contactica) to support high-volume hiring campaigns.

  • Analyze social media metrics and publish internal communications via Viva Engage.

  • Design and promote internal job advertisements and TA team initiatives.

Diversity, Equity & Inclusion (DEI) 

  • Support DEI programs to increase awareness and representation of protected groups.

  • Assist recruiters in implementing inclusive hiring strategies and outreach efforts.

Education & Experience

  • Bachelor’s degree in Human Resources, Business Administration, or related field.

  • 3+ years of experience in Talent Acquisition, HR Operations, or HR Technology.

  • Experience with SAP SuccessFactors or similar ATS platforms preferred.

  • Project management certification is a plus.

Skills & Competencies

  • Strong analytical and problem-solving skills.

  • Excellent communication and stakeholder management abilities.

  • Proficiency in Microsoft Power BI and other data visualization tools.

  • Ability to manage multiple priorities in a fast-paced environment.

  • Passion for continuous improvement and innovation in HR practices.
