General Description

The Sales and Service Officer provides administrative support to the Condominiums Practice Accounts Executives, Supervisor and Manager to enable the team or department to focus on client servicing and selling.

Essential Duties and Responsibilities

  • Provides day-to-day customer service support to Account Executives by preparing information, managing data and producing documents in accordance with departmental service standard, including but not limited to insurance specifications, certificates of insurance, payment letters, vouchers and endorsements required by the clients and/or financial institutions.
  • Provides day-to-day administrative support to the Account Executive with tasks such as billing and collection of master condominium policies and individual policies of the unit owners.
  • Support in maintaining the details of the policy in AMS360, and accurate file documentation.
  • Receive, review and forward valuations, invoices, policies, endorsements, and other documents, as necessary.
  • Assist team members to receive and sort daily correspondence.
  • Call clients and confirm that they have received their policies and make the corresponding collection arrangements.
  • Follow-up to address client needs and resolve any problems or issues.
  • Provides client support with all levels of client’s decision-makers as well as the day-to-day technical client representatives.
  • Assist the producer with applications, proposals, and presentations. Print presentations or documents when needed and support the producer in any other service related to customers.
  • Prepare and monitor production reports and / or renovations. Prepare and monitor production reports and / or renovations.
  • Provides support to the claims department with the condominium and unit owners claims.
  • Other responsibilities as assigned by Supervisor and Manager.

Education

Bachelor's Degree

Experience

1-3 years of relevant experience in the insurance industry.

Certifications / Licenses

Other Qualifications

  • Technical:  Advanced proficiency in Microsoft Office products.
  • Management of a challenging workload with proper prioritization and problem solving.
  • Helpful, responsive customer service with all internal and external customers.
  • Ability to work independently and as part of an integrated team.
  • Professional communication and follow-up.
  • Documentation proficiency, attention to detail and compliance with service standards.
  • Effective, professional verbal and written communication skills
  • Bilingual - Spanish/English required.
