Vendor Management Specialist
General Description
The Vendor Management Specialist manages vendor performance, analyzes data and supports operational projects. This role analyzes data, ensures contract compliance, and improves vendor performance. The VMS serves as a key owner of supplier and contract information so stakeholders can clearly understand vendor performance and use insights to make strategic business decisions. The role also includes coordination of vendor review processes, procurement support activities, and improvement initiatives.
Essential Duties and Responsibilities
- Manage assigned suppliers and monitor overall service performance as a primarily liaison between Popular and the Vendor.
- Track SLA’s, pricing compliance, and contractual obligations.
- Identify, escalate, and resolve supplier performance issues.
- Analyze vendor data and prepare performance or quality reports.
- Coordinate quarterly vendor reviews and documents outcome.
- Support contract negotiations with analysis and recommendations.
- Monitor and assess contract terms, clauses, and renewals or amendments requirements.
- Payment and billing processing according to agreement; review and monitor invoices, budget, claims or invoicing disputes.
- Identify cost savings, cost avoidance, and efficiency opportunities.
- Provide guidance on purchase orders, requisitions, and procurement processes.
- Manage service request through ticketing system within SLA targets.
- Evaluate new products requests, supply levels, and demand trends to proactively recommend improvements.
- Validate supplier price increases and document analysis results.
- Coordinate product onboarding, approvals, and catalog availability.
- Monitor inventory movement, high demand products on catalogs, and recommend procurement strategies.
- Recommend continuous improvement initiatives for vendor and contract management processes.
- Support overall Procurement Operations initiatives, system upgrades, and change management.
- Manages projects as assigned.
- Performs related duties and responsibilities required.
Education
Bachelor's Degree from an accredited institution.
Experience
At least two (2) years of related experience.
Other Qualifications
- At least 2 years of experience in procurement, vendor management, contracts, or similar role preferred.
- Advanced Excel skills; proficiency in Word and PowerPoint.
- Strong analytical, organizational, and problem-solving skills.
- Ability to prepare clear and comprehensive reports.
- Ability to set priorities, simultaneously handle multiple tasks and meet established deadlines.
- Excellent customer service and interpersonal skills.
- Ability to make comprehensive decisions in a consistent manner with job functions.
- Excellent oral and communication skills, both in English and Spanish.
- Ability to work independently with minimal supervision.
- Focused on achieving results through collaboration and teamwork.
